Information on data protection in the talent acquisition process

Strix respects your right to privacy

Strix's overriding priority is respecting your rights to data privacy. This Notice explains how we collect and process your personal data and what rights you have regarding it.

Your data

Strix is responsible for your personal information. Strix means Strix Poland sp. z o.o. and its subsidiaries. The data controller is the Strix affiliate where you apply for a position for applicable data protection laws. For further information on Strix affiliates, please click here. This notice applies to all such entities.

We obtained your data through the Strix recruitment website.

In some cases, we will also collect your data indirectly from third-party representatives, i.e., service providers that verify candidates' employment history for collaboration, recruitment agencies through which you apply for a position and other administrative service providers.

In some cases, we will also process your personal data from publicly available resources, such as employment and business-oriented social networks (e.g. LinkedIn, Glassdoor) and job fairs.

What do we need?

We collect and use personal data that concerns you in connection with the recruitment process at Strix. We may collect the following categories of personal data:

Personal and identifying data, such as name, gender, private and business address, private and business telephone number, private and business e-mail address or other address data, date and country of birth, photo, nationality, and nationality.

Data on skills and experience, such as qualifications and certificates for positions held now and in the past, education and training, resumes, records of education, and professional achievements. In some cases: contact information for references and the results of ability assessments, interview results, and any other information you wish to provide us with as part of the job application process.

Depending on the position, we conduct an internal/external assessment, during which we collect additional information such as the date of the assessment, the result of the assessment, notes/records taken during a phone interview, and notes/records taken during a video interview.

If we verify your employment history as part of the recruitment process, we process the data obtained in this way following the provisions of applicable law.

Data necessary for the preparation of the contract and the implementation of the person who has been selected in the recruitment process, such as the relevant identification number (tax identification number, citizenship identification number, social security number or any other identification number applicable in your country); data of persons related to you (name of spouse(s)/partner(s), children, etc.); and data ofthe person who has been selected in the recruitment process. ); your signature; account details etheir data for us to review and evaluate your application (where we are acting based on your consent) or to take the same steps to prepare and conclude a cooperation agreement with you. bank; details of persons to be contacted in an emergency.

Why do we need them?

The personal data we collect will be used for the following purposes:

  • Your application for cooperation with Strix or with Strix and a third party, which, depending on the jurisdiction, we process as pre-contractual measures to establish employment and related contracts (to take action before entering into a cooperation agreement).

  • Evaluating your application for cooperation, based on the legitimate interest of Strix or Strix and a third party, to find the candidate best suited to the requirements of the vacant position, so that Strix can conduct an assessment and interview, which also agrees with your desire to find an occupation that best suits you.

  • Your application for cooperation for potential future recruitment at Strix or at Strix and a third party is based on your consent.

  • If you enter into a cooperation agreement - to take the steps necessary to fulfill the controller's obligations under the cooperation agreement and applicable laws, such as confirming that you meet the internal and legal requirements of the position, drafting and signing the cooperation agreement, and other employment-related documents, setting up the necessary accounts in our information systems; providing you with access to Strix facilities; providing you with mandatory notices to authorities; providing you with corporate attire and personal protective equipment where necessary; conducting an induction session that includes handing over tools, training and providing you with information regarding the position in which you are hired.

  • If you enter into a cooperation agreement, we may also process personal data concerning you at your request to the extent necessary to perform certain employment-related services (e.g., relocation services or obtaining the required visa or work permit).

  • Performing audits, checks, and controls to monitor the quality of the recruitment process, including compliance with Strix's corporate policies and legal requirements, responding to complaints and questions regarding recruitment, and bringing or defending against claims, based on the legitimate interests of Strix or joint ventures between Strix and third parties.

We collect only the personal data we need to fulfill the purposes listed above. The use of the personal data you provide when applying for a partnership will be kept to a minimum, and the data will only be shared with those employees and third-party entities that are directly involved in the recruitment process for the position.

If your profile is incomplete or contains incorrect data, your application may be rejected. Accurate personal data, contact information, and a completed profile are required to enable us to contact you and process your application for cooperation.

What do we do with them?

We only share your personal data with those employees and third party entities that are directly involved in the recruitment process, namely:

STRIX affiliate in Europe

Sharing your job application with those affiliates who are directly involved in the recruitment process for a specific position and in any other recruitment process in the future, based on your consent.

If you enter into an employment contract, we must share your data with entities involved in creating the necessary accounts in our information systems, maintaining the servers and systems used to store and share your employee's personal data for the purposes described herein.

This affiliate is located in the EU, which is considered an organization that provides adequate protection for personal data

Other entities located in the EU (including STRIX business partners, software providers, personnel evaluation process providers, law firms and government agencies)

Sharing your job application with those affiliates who are directly involved in the process to provide the recruitment platform, search and evaluate candidates, obtain visas and work permits or other legally required documents.

In the event of an employment contract, we must share your data with entities responsible for allowing you access to the STRIX site; sending mandatory notifications to government institutions and arranging medical examinations of prospective employees, as well as entities checking your references and employment history.

This affiliate is based in the EU, which is considered an organization that ensures adequate protection of personal data

If necessary, we will share your data with third-party entities in the country where you applied for the position, or with third-party entities in the country that are directly related to the recruitment process for the position for which you are applying. This may be relevant if you apply for a position located in another country. The purpose is to process and arrange a work permit or visa.

Profiling and automatic processing of your data

No automated operations are performed to make decisions based on your personal data.

We may use automated processing of personal data provided to us through the recruitment platform and create profiles of our candidates (profiling). The candidate profile will only be used to ensure a uniform assessment of our candidates, which will enhance the integrity and fairness of the recruitment process. The information obtained through profiling is additional information considered in the recruitment process, which does not prejudge the outcome of the proceedings.

After the application process, whether you are hired or not, we may send you a request to participate in a survey about the recruitment process. Your participation in the survey is voluntary.

How long do we keep the data?

We keep your personal data obtained in this process for as long as our legitimate interests require or for the duration of the consent you have given. In general, we process your data for no more than 12 months and 24 months if you have given your consent to participate in subsequent recruitments, with minor exceptions related to the requirements of local laws (such as tax or commercial law).

If we enter into a cooperation agreement, we will process your personal data for the duration of the agreement.

Under applicable law, Strix must retain certain personal data for a minimum period. For example, employment contracts, information on transfers made and reimbursements must be kept for the minimum period set by local income tax laws.

After the expiration of the retention period, your personal data will be deleted.

What are your rights?

Depending on the regulations to which you are subject or under which your personal data is processed, you may have the following rights:

  • to have any errors in your personal data corrected or updated,

  • to access your personal data and receive a copy of your personal data that we hold,

  • delete your personal data for which we no longer have a legal basis to use it,

  • transfer your personal data to a new provider (if applicable),

  • object to the processing of your personal data based on a legitimate interest (provided that our reasons for processing do not outweigh any reservation of data privacy rights),

  • to limit the way we process your personal data while we are explaining your complaint,

  • to withdraw your consent, if we have asked for your consent to process your personal data.

Under certain circumstances, we may require restriction of the above rights to protect the public interest (e.g., prevention or detection of crime) and our interests (e.g., to maintain legal confidentiality).

If you are dissatisfied with our response or believe that we are processing personal data unlawfully, you can file a complaint with the data protection authority in your country of residence or cooperation, or where the data protection violation may have occurred.
